Discussing late cancellations with Clients

Hello, I've seen similar posts to this before, so please bear with me.

When it comes to clients who have a habit of late cancelling, how do y'all handle the conversation? I mean this in the context of clients who cancel because they "forgot they had something else" or they overslept - not medical or emergent needs.

I can't just charge a late fee (medical assistance/state plans). At my site, we are encouraged to switch clients to same week/same day appointments if the late cancel more than 2 times. Since I try to support clear communication, I would like to have a conversation with these clients first and give us the opportunity to figure out a solution before taking away their reoccurring appointment slot.

How might you have the conversation in a way that doesn't sound like you are blaming them or are mad at them, but also communicates that this is a job and you need to be paid? If any of y'all have scripts you follow for conversations like this, id love to hear it. Thanks so much, enjoy the week y'all!
